Parent Code of Conduct (VP-POL-04)
This policy sets clear, respectful and fair standards for how parents,
guardians, caregivers and visitors deal with Viva Primary School, its staff,
learners, other parents and the wider school community. It applies on the
school premises, at events, meetings, trips and sport, and in all
school-related communication, including WhatsApp, email, phone calls and
social media. It is read together with the Enrolment Agreement, Learner Code
of Conduct, School Fee Policy, Safeguarding Policy, POPIA Privacy Policy and
Complaints Policy.
Core principles
- The school and parents work together in the best interests of the
learner.
- All communication must be respectful, honest, reasonable and
constructive.
- Staff must be treated with dignity and allowed to do their work without
intimidation or harassment.
- Learners must not be placed in the middle of adult disputes.
- Complaints must follow the correct channels and escalation process.
- Confidential information about learners, parents, staff and the school
must be protected.
What we expect from parents
- Support the school's rules, policies, values, learning programme and
disciplinary processes.
- Communicate with staff calmly and respectfully, and make appointments
rather than interrupting classes.
- Make sure your child attends regularly, arrives on time, is collected on
time, and is properly dressed and prepared.
- Respond to school communication within a reasonable time and keep
contact,
medical and emergency details up to date.
- Pay school fees according to the enrolment agreement and fee policy.
- Respect school property, staff, learners, other parents and visitors.
- Raise concerns through the correct channels, not through gossip, social
media or public confrontation.
Unacceptable conduct
- Shouting, swearing, insulting, threatening or verbally abusing anyone.
- Aggressive, intimidating, discriminatory, racist, sexist or harassing
behaviour.
- Entering classrooms, staff areas or restricted areas without permission.
- Confronting, questioning or disciplining another person's child.
- Making false, harmful or defamatory statements about the school, staff,
learners or parents.
- Posting complaints, learner or staff details, photos, videos or
allegations on social media without following the complaints process.
- Recording meetings, calls, staff or learners without prior permission,
unless legally justified.
- Refusing reasonable instructions for safety, discipline or school
management, or disrupting teaching, events or administration.
- Arriving under the influence of alcohol or drugs, or bringing prohibited
substances or dangerous objects onto school property.
- Improperly interfering with discipline, assessment, staffing or internal
management decisions.
- Withholding information that may affect a learner's safety, wellbeing or
learning support, or the safety of others.
Communication with the school
Use the school's official channels for school-related matters only, keep
messages factual and respectful, and send them during reasonable hours
unless
it's an emergency. WhatsApp groups and social media may not be used to
attack, embarrass or pressure anyone, and the school may limit, moderate or
close groups where needed. Raise concerns with the class teacher first, then
the HOD or phase head, then the principal, and then school management if
required. Urgent safety matters must be reported to the office immediately.
Meetings and access to staff
- Make an appointment before meeting a teacher, HOD, principal or manager.
- Immediate meetings can't be demanded during teaching time.
- The school may ask for a second staff member to be present, and may end
or
postpone a meeting if it becomes aggressive or disruptive.
- Notes may be kept of meetings and placed on the learner's file.
Complaints, privacy and POPIA
You have every right to raise concerns. Please do so respectfully, through
the
correct channels, and give the school a reasonable chance to investigate
before escalating. Anonymous complaints, public accusations and social media
campaigns are not acceptable ways to resolve concerns. Parents may not
publish, forward or share personal information, photos, videos, school
records or private communications without proper authority or consent.
Events, safety and access
- Behave in a way that reflects well on the school at all events, and
never
argue with referees, staff, parents or learners.
- Report to the office where required and only enter areas open to you.
- Never remove a learner from school without proper authorisation.
- The school may refuse entry, remove a person or restrict access where
behaviour creates a safety risk, and may report threats to the
authorities.
If the policy is breached
Depending on the seriousness, the school may:
- issue a verbal or written warning, or request a formal meeting;
- require communication in writing only, or meetings with a witness
present;
- restrict access to the premises, events or WhatsApp groups;
- refer the matter to legal representatives, authorities or police;
- review the continued enrolment relationship where conduct seriously
damages
trust, safety or the school's ability to educate the learner.
Any action will be reasonable, procedurally fair where required, and guided
by
the best interests of the learner. Records are kept confidentially, and the
policy is reviewed every year.
